Full-time Office Manager starting at $12-$14 per hour

The Office Manager is charged with responsibilities of bookkeeping, mailing, and general office upkeep. All staff is also required to participate in support raising activities.

Qualifications

  • Is a born again Christian with a willingness to share that faith with others.

  • Is in full agreement with the CEF Statement of Faith and Doctrinal Protection Policy.

  • Must pass a criminal background check as required by CEF Child Protection Policy.

  • Is interdenominational in spirit and able to work with other believers in CEF.

  • Believes in the possibility and necessity of children being saved by faith in Christ alone.

  • Is willing and able to raise needed financial and prayer support.

  • Demonstrates leadership ability and is able to perform requirements of the job.

  • Possesses general secretarial skills.

  • Has excellent phone and relational skills.

  • Is self-motivated and organized, able to work independently and solve problems that may arise in the course of ministry.

  • Is willing and able to keep information confidential in all areas of ministry.

  • Has general knowledge of and experience with technology (i.e. OneDrive, PowerPoint, Publisher, Word, and Excel)

  • Has experience with financial bookkeeping (i.e. Quick Books)


Responsibilities

BookKeeping

  • Assist Treasurer with payroll & quarterly taxes, balancing bank statements, and closing out the books monthly as needed or directed.

  • Write checks and have Treasurer sign in order to pay bills.

  • Review monthly services (i.e. phone, internet, copier, etc.) to maintain lowest possible costs.

  • Track donations, send receipts, and maintain an updated list of donors.

  • Notify Director of first-time donors and assist in sending appreciation communications.

  • Generate receipts for contributions received. Send all general fund contribution receipts out with a thank you note.

  • Load monthly financials into state Dropbox.

  • Keep files in line with CEF’s record retention standards.

  • Complete of end of the year reports required by the state.

  • Manage documentation for summer interns.

  • Maintain sale of materials, invoicing accounts as needed (phone orders, walk-ins).

  • Maintain supply of t-shirts, office supplies, and other materials as needed.

Mailings

  • Regularly pick up mail from the PO box and deliver outgoing mail to the post office.

  • Update mailing lists (remove deceased, add new donors or volunteers, etc.).

  • Mail and note all postal changes with 1st class and bulk mail

 Secretarial responsibilities

  • Answer the phone and direct callers to the appropriate staff member to answer their questions.

  • Have knowledge on the database and basics of the ministry of CEF.

  • Help maintain files in OneDrive as needed.

  • Order and arrange food items for large trainings, board meetings, and other events as needed.

  • Help set up materials for CEF trainings as needed.

  • Assist Director in preparing fundraising materials for the board.

  • Assist Director in preparing packets for board meetings.
